PROPERTY DATABASE ADMINISTRATOR 6 MONTHS TEMP TO PERM FULL TIME 35 HOURS PER WEEK £15.00-£16.00 HOURS PER WEEK OFFICE BASED IN COLLINDALE Overall context and purpose of the role You will be responsible for: Maintaining all databases used for recording client contact and processing of works, ensuring accurate data inputting Maintaining effective working relationships with partners who operate both within and outside such as contractors, housing associations, local authorities etc Updating PIMSS, QL and Sharepoint Provide other general administrative tasks to support the Property Services Team. Main duties and responsibilities The postholder will report to and support the Stock Investment Officer and assist other Property Services team members in the collection and compilation of data into useful information and management reports to meet both internal and external reporting requirements Be responsible for raising and closing of work orders, updating the contact notes on QL or other databases relevant to the organization Update databases with the relevant financial information to enable the accurate running of reports and closing of works orders To develop and maintain electronic filling/recording systems to facilitate the smooth running of the business To collate benchmarking information as directed Assist the team in planning and procuring technical resources to optimize the delivery of planned projects and program of works. This could include the collation and editing of documents forming part of the invitation to tender for consultants and contractors Co-ordinate responses for customer complaints, VIP enquiries and Service Access Requests and then ensuring these are closed off on the system with all the necessary documentation This post will require engagement with our residents which may include: Receiving and addressing queries received by telephone, email and letter Facilitating resident consultation including organizing postal surveys, telephone surveys and similar as applicable Working across the Property Services team and Barnet Homes to ensure information requirements are met and the appropriate targets and performance measures are achieved Set up, issue/coordinate papers for meetings and attend and take minutes as required Promote and facilitate residents consultation and involvement in the delivery of allocated projects, ensuring compliance with the Tenants Compact and legislative requirements for leaseholders Assist and support the multiple contractors as required for the reporting of KPIs such as Customer Satisfaction reporting and maintain accurate data inputting into Covalent Develop, maintain, and review files/recording systems, including scanning to ensure the latest information is recorded both manually and electronically Ordering of Gerda security locks and keys maintaining the accurate records or key issue and retrieval Research and obtain from systems and archives information to respond to Freedom of Information requests Be the main contact between Barnet Homes Social Value team keeping a log of all tenders, what is on site and what social value is included within the contract (Thomas added) Update the scaffold logs from respective contract manager/contractors ensuring the latest version is available and retained on the information systems (Thomas added) Provide support for the ongoing development of the out of hours emergency App with support from other team members (KLF additional) Cover administrative duties as and when required throughout the Property Services Team (KLF additional) Assist in providing training to new users and refresher training to existing users (PJ added) Obtain monthly progress reports from Project Managers and update systems with this information (PJ added)
